We are excited to be adding a Legal Assistant to our team. We are looking for someone who possesses initiative, drive, and organizational skills that equip him or her to ensure the smooth operation of the law firm from an administrative standpoint. The ideal candidate will possess:
The ability to multitask, handling multiple matters and functions, and moving seamlessly among them.
Skill in communicating with both clients and attorneys via written, phone and face to face communication. With clients, assisting in creating a warm and welcoming atmosphere in the office, and clearly communicating processes, documentation needed, timelines, etc. With attorneys, relaying necessary information in a timely manner and capturing the necessary level of detail when information is received or instruction given.
Attention to detail in receiving and processing instruction/tasks, reviewing documents, and in communicating to others.
Critical thinking skills that allow the candidate to anticipate needs and find solutions without having to be asked or instructed to do so.
Responsibilities
- Provide administrative support to firm's attorneys
- Handle communication with clients, including intake, scheduling, invoicing, and fielding client questions. Such communication will include writing letters, making phone calls, and speaking with clients who come in the office.
- Create, organize, and maintain case files
- Prepare legal documents from the standpoint of data entry, formatting, basic research, electronic filing.
- Other duties as needed.
Qualifications
- Bachelor's degree or equivalent experience
- At least three years experience as a Legal Assistant or a similar administrative role in a law firm
- Excellent written and verbal communication skills
- Skilled in utilized Microsoft Office suite of tools, including Word, Excel and PowerPoint
- Comfort and proficiency utilizing technology in various environments, including email, client management software, OneDrive, and Westlaw
- Ability to carry oneself with professionalism in communication, conduct, and appearance
